To pay or not to pay

Identify one of the conflict-handling styles (Accommodating/avoiding/competing) used in this scenario. How did you determine that?

There are various methods through which the conflict can be managed. Three of them as discussed are:

  • Accommodating: One party accommodates and oblige the demands of other party, and it is one of useful approach to deal with the matter, as one party will benefit for now, and the other one will have a chance next time.
  • Avoiding: When parties back off from situations and put an end to matter without resolving the issue, it is a technique of avoidance. It is not useful because no party gets any advantage and the problem can lead to future conflicts.
  • Competing: When one party accomplishes what they want on the expense of other party and maximize their own self-interest. The solution is temporary, and the issue may arise again.

Based on these factors, Kay is facing competing technique, because she will give raise in salary, but on the other hand she will have to bear the expense of not availing the upcoming project with promising returns and growth to company. Hence, at one point she is accomplishing the demands of Mr. Robert, but on the other hand she is expensing company’s growth. In other case, she will have to face Union issues and strike, which might again cause threat to company’s reputation as well as future prospects.

Choose one of the characters and determine which bargaining approach (distributive or integrative) is used. How did you determine that?

The two approaches for bargaining are distributive and integrative

  • Distributive: When one party refuses to acknowledge the stance of other party, and strongly fight for their own choice and stance, then they are using distributive bargaining approach.
  • Integrative: In this approach both parties look for their own interest and have a mutual consensus to choose a go between path to settle the situation. A win-win situation occurs as both parties are satisfied with the outcome.

Based on above approaches, it can be inferred that distributive approach of bargaining is used because only Mr. Robert is willing to get the benefit and is not agreeing with the stance of Kay. This one-sided approach of willingness to fulfill own demands without considering company’s position and growth prospects Mr. Robert is following distributive approach of bargaining.

What aspect of interpersonal communication is contributing to the poor working environment? How is this demonstrated in the case?

Emotional Intelligence is one of the integral parts of Interpersonal Communication, and it is further divided into two more components of self, and social aspects. Discussing them in a bit detail:

Mr. Robert lack self-regulation because he does not have openness and flexibility to accept the negotiations of Kay. He was up to a level of threatening Kay of Union, so he is extremely lacking in flexibility to adhere others point of view.

On the other hand, He also lacks social skills because he does not have effective communication skills to go by a peaceful negotiation talk to resolve the matter instead, he is just trying unethical ways to pressurize the management of company specifically Kay. He also lacks collaboration and cooperation skills because he is not willing to cooperate with the management at all, and only wants to achieve his own and his sub-ordinates benefit. These all factors leak to weak conflict management skills which Mr. Robert lack to deal with the situation.

Using Hall’s context model (high and low context culture), describe one of the characters’ behavior. How did you determine that?

Edward Hall divided cultures into two classifications with a scale from low-context culture to high-context cultures.

He gave reasoning that some cultures are high context because they have a collectivist, and they have a very strong value for non-verbal communication. The communication is indirect sometimes, and more emphasis is given to relationships and feelings for others. The bonding is very strong and therefore people usually take decision on consensus basis and then everyone own it whether it led to success or failure outcome.

On the contrary, Low context cultures are individualistic. They are explicit and direct. The communication heavily relies on verbal and short-term relationships. As well as, the bonding is not very strong, and people tend to develop purpose-based relationships for shorter period of time.

On the basis of this analysis, we can conclude that Mr. Robert’s behavior is expressing low-context culture, and he is just behaving in an objective-oriented manner who only wants to get his short-term benefit. He is not showing mutual consensus, and a strong bonding with the management or the company he is working in. He is also explicit and direct about threatening from Union members.

Stereotype

A stereotype is a expectation or belief many people have about a thing or group, based upon how they look on the outside. It may be untrue or only partly true. Stereotype happen when people are being categorized unfairly, and then judged by ignorance and ill-founded knowledge.

Stereotyping affects communication in several ways.

False Assumption
Stereotyping may lead to inaccurate assumption and misunderstanding. For example, I assume all Indian can take spicy food. I bought an Indian friend to a Indian restaurant to celebrate his birthday. But when we arrive at the Indian restaurant, my Indian friend says he can’t take spicy food. Luckily, the Indian restaurant has some non-spicy dishes or else it will be very awkward and left a bad impression about me.

Fear of appearing ignorant & Egocentric
Another stereotype is being a leader needs to know or do everything, being dominant and must be a male. It can promote fear of appearing ignorant , egocentric and close off leadership to female. The fear of appearing ignorant forces the leader to give an answer even through it is the wrong one. Another example, when his teammate figure out the leader’s instructions are incorrect. He tried to explain, but the leader brush him off out of embarrassment and fear others views him as incompetent. The leader is shows signs of egocentric behavior. He is focusing on his own perception and opinion, inability to recognize needs of others, worry of how others might view them.

Passive listening
Passive listening is when a person doesn’t focuses 100% on what is said; he only keeps the general track of it. After the leader brushes his teammate off, he issues new instructions to his teammates. His teammate just react by nodding his head to acknowledge the leader’s instruction. This is due to the teammate is annoyed by the leader’s remark on his explanation.

Stereotype prevent the completion of an objective and distort the original intent to convey from sender to the receiving party. For my Indian friend case, I’m unable to convey my well wishes to celebrate his birthday and well bring. While the leader believe in the stereotype, is unable to fulfill his purpose by leading and motivating others.

My past experience with stereotype

When I was working as an IT Support. It was stressful as I have to be able to resolve different types of computer related problems, sometimes even IT Support themselves. For problem, we are not able to solve we need to explain why to our users and supervisor. Sometimes we get scolded because we can’t fix the computer on time as we delayed user’s work to be completed.

Working as the IT Support, we are expected to knows everything about IT, able to solve PC issues within a few working days. However this expectation is not realistic, I realized that everyone including me would stereotype people unintentionally. It is important to know that stereotypes can go both ways, but how you deal with it would affect the communication with the individual.

What are the implications of such events occurring in your social life?

It will have an implication on our social life as we will put a distance or a defensive barrier between ourselves and those people who are stereotyped, this does not allow us to know more about them or understand them. We may end up offending others and cast an bad impression upon ourselves. Individual performance may be affected adversely, knowing being judged could adversely affect my confidence and concentration, and with that my overall performance.

Johari Window

This is a Johari Window done by my friend since ITE

Is this an accurate presentation of yourself?

The Johari window’s presentation of myself is only slightly accurate. The Johari Window done by my ITE friend is accurate as we have known each other for a long time. However, with my classmate, we only known each other for two weeks, hence his perception of me is not very accurate . He is only able to perceive what I am on a very superficial level as we have not had the chance to work together yet.

Are there any area(s) that you are surprised from your friend’s perception of you?

No, I always have been an introvert. I simply spending time resting or engaging in an activity, solitude is a welcome relief. I often enjoy gaming, watching movies, or doing any other activity that’s performed alone.

Explain how this result will be useful for self-awareness and your communication in a team.

You are able to tell how people perceive you. If it is not the image you wish to portrait, then you can make any adjustment. As for team communication, the model helps to increase the understanding they have of you and have a better group relationships and team bonding. Overall, Johari Window model improve people interpersonal communication and relationship by understanding others intrapersonal communication

Discuss if Shannon and Weaver’s (1954) model of communication complete?

Concepts in Shannon Weaver Model

Sender (Information source)
The Sender makes the message, choose the channel and sends the message. A sender can send a message in different ways: it may be orally (through spoken word), in writing, through body language, music, etc.

Encoder (Transmitter)
An encoder can be a machine or technique, which converts message into signals or binary data. However, a person can communicate an idea with spoken words, written words, or sign language.

Channel
Channel is the medium used to send and receive information, from the sender and transmitter through to the decoder and receiver.
Examples of channel:

  • A phone uses cables and electrical wires as their channel to transmit signals and binary data. 
  • The world wide web(medium) is used to send email.
  • Sound waves from our voice carry the sound from the sender’s mouth to the receiver’s ear.

Noise
Noise disrupts information on its way from the sender to the receiver. There are two types of noise: internal and external.

  • Internal Noise occurs on two points. Sender makes a mistake encoding a message. For example, sender misspell a word in a text message. Receiver makes a mistake decoding the message. For example, receiver misunderstood the meaning of an email.
  • External Noise occurs when the message is affect by something not in the control of sender or receiver. For example, the noise of the vacuum cleaner affects the receiver listening to sender

Decoder is the machine or technique used to convert signals or binary data back to a message or the receiver who translates the message from signals.

Feedback
Feedback occurs when the receiver of the message responds to the sender in order to close the communication loop.  

Example of Feedback occurs

  • During a chat between friends
  • When you write a reply email
  • Through your facial expressions and body language during a conversation

However, Feedback does not occur in all situations. We may not communicate with each other while watching TV. We simply enjoy the show.

Is Shannon and Weaver Model complete?

No, The Shannon and Weaver’s (1954) model of communication is not complete.

First, the Shannon and Weaver’s (1954) model did not describe one to many communication. One to many Communication is important in our everyday life. In daily life, conversation with more than one party is very common and crucial to interact others. Group discussion and meeting are common in workplaces to understand each other idea and helps work towards a common goal.

Second, the model does not describe sufficiently when the receiver reply the sender after information has been received. The model should show the receiver sent the message through the transmitter. The message received by sender from the receiver. Additionally, the message can be affected by the noise in the same way as sender sends message to receiver. Below is a diagram on improvement to the Shannon and Weaver Model.

Third, the model is unable to describe human emotions, body language and tone of voice to communicate.

Body language is the unspoken element of communication that we use to reveal our true feelings and emotions. A folded arm posture is defensive in nature and might indicate uncertainty or insecurity towards the other party. A person might nod and smile after every sentence shows he is very pleased and happy. Though there is no verbal response in both gestures, we can understand what the other party has to say.

Tone of Voice is the language we use, the way we construct sentences, the sound of our words and the personality we communicate. For example, the student is scolded by the teacher for being late. “Why are you late? Stand back for dentention today!”. From the tone, we know the teacher is angry.

Ideal Communication Model

The ideal communication model allows interaction between multiple parties and translate the perception of a person. For example, Person A has a concept for Person B and Person C. The message is translated from a concept and sent the message to Person B and Person C through a channel. Person B and Person C has a decoder each. The concept is converted back from message and received by both person.

Hi, My name is James Thiah. I am currently studying in Digital System Security in University of Wollongong. Previously, I had been working full time as IT Support. I decided to take up this major, because there are many job opportunities present and high pay. I also I felt the need to get more knowledge regarding the IT Industry.
